This Privacy Policy (Policy) outlines how we at "Hello, Ukraine" (Fund) collect, use, disclose, and safeguard your information when you interact with our Hello, Ukraine Portal (Website). We highly value your privacy and are committed to protecting the personal data (data) you share with us. Please take a moment to read through this policy carefully to understand our practices and how your information is handled.

2. DATA CONTROLLERS

If you are from Ukraine, the controller of your data will be the Charity Organization “International Charity fund “Hello, Ukraine”.

Personal information that we obtain directly from you

Donation form

By default, your donations will be anonymous. Only if you want your name to appear alongside the donation amount in the list of donators for the specific project should you specify your name in the respective field on the donation form. We rely on your consent as a legal basis when processing your name for the specified purpose. We will also ask your consent to send you marketing emails and will ask you to provide your email for the purpose.

Contact form

When you submit your request, inquiry or suggestion via contact form on our platform we will ask you to provide your full name and email address for the purpose of responding to and addressing the submitted requests or inquiries. This processing is necessary to pursue our legitimate interests, which are to fulfill our obligations and to provide the necessary information or assistance, to establish effective communication channels and to ensure a prompt and satisfactory response to an individual's inquiry or request.

Personal information about you we automatically collect

At the moment, on our Website, we only use technologies and tools (services; including those provided by third parties) to ensure critical website functions (for example, online donation payment), and network and information security (for example, a firewall to filter malicious and potentially dangerous content and connections). The use of such services may involve the collection and processing of certain categories of personal data, such as: IP address, visited pages on our portal, information about your web browser (ID, version, operating system, screen extension, etc.). The processing of the above data is necessary for the purpose of protecting our legitimate interests, such as preventing fraudulent actions, unauthorized access or security breaches, protecting the network and systems from threats and vulnerabilities.

Personal information about you that we retrieve from third-party organizations

Fund may receive information about you from other sources, including publicly available databases or third parties from whom Fund has purchased data, and combine this data with information Fund already has about you. This helps Fund to update, expand and analyze records, identify new customers, and provide information about products and services that may be of interest to you. If you provide Fund personal information about others, or if others give Fund your information, Fund will only use that information for the specific purpose for which it was provided to Fund.

3. HOW Website USES PERSONAL INFORMATION

Website uses personal information processed from the Website to process donations, orders of goods or provide information and reports.

Requests on the Website: Fund uses information processed from the Website to respond to visitors` requests. Fund does not sell, rent, lease, trade or share Website visitors` personal information other than as outlined in this Privacy Policy. When you provide Fund with your personal information or otherwise choose to sign up to receive email communications from Fund, Fund will use that information to send those communications to you. Individuals may “opt-out” of receiving e-mail communications through links available on e-mails received.

Data Retention: Where Fund serves as the controller of the data, such as where Fund uses personal information for Fund's own independent business purpose, Fund will retain your information for the necessary period of time that it serves the purpose for which it was originally processed or subsequently authorised and in accordance with applicable law.

4. YOUR INQUIRES REGARDING DATA PROCESSING

Fund acknowledges that you may have the right to access your personal information and works to manage your inquiries as applicable. Your rights are as follows:

  • You may request to access, correct, update or request deletion of your personal information based on information collected from accessing the Website.
  • You may request additional information related to the purposes for which Fund processes your personal information, the categories of personal information Fund processes, where Fund originally collected the information, who Fund shares it with, and how long Fund will retain it.
  • You may object to the processing of your personal information, request that Fund restrict the processing of your personal information or request portability.
  • You have the right to opt-out of marketing communications Fund sends you at any time. You can do so by clicking the “unsubscribe” or “opt-out” link in the marketing emails Fund sends to you, including Fund's newsletter. Where Fund has collected and processed your personal information with your consent, you can withdraw your consent at any time. However, withdrawing your consent will not affect the lawfulness of any processing Fund conducted prior to your withdrawal nor will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
  • Upon your request, and where it is technically feasible, Fund will provide you with a copy of your personal data or transmit it directly to another controller. You have the right to submit a complaint to a data protection authority about the collection and use of your personal information. To make a request please email at info@helloua.com with “Personal Data Request” in the subject line and indication “Inside Ukraine” or “Outside Ukraine” respectively, and provide Fund with full details in relation to your request, including your contact information and any other detail you feel is relevant. Fund will provide a response to an access request within 30 days of receiving such request with respect to the personal information Fund holds or if Fund cannot, Fund will notify you and provide you with the reason for the delay.

You may have other rights as may be provided by the applicable legislation.

Identity Verification Requirement: Fund is required by law to verify that any request submitted was made by someone with the legal right to access the data. Therefore, prior to providing any information pursuant to a data subject access request, Fund may request that you provide Fund with additional information in order for Fund to verify your identity and legal authority.

We may share your personal data with third-parties providing us with operational (such as payment services providers) and technology services (web hosting and security services providers) which may involve processing of personal data. We will only provide data that is relevant and necessary for the performance of the contract with such suppliers. Prior to transferring data for processing, contractual agreements are established with each supplier. These agreements govern the objectives and terms of personal data processing and outline a set of security measures and controls that the supplier must implement to ensure the reliable protection of your data throughout the entire processing duration.

You have a right to report grievances related to privacy with your local data privacy supervisory authority. In Ukraine this is Ukrainian Parliament's Commissioner for Human Rights (Ombudsman), who can be reached at https://www.ombudsman.gov.ua/en/ and also cantacted by email hotline@ombudsman.gov.ua. Please be aware that our website may include links to external websites. For example, when donating online, you will be redirected to the site of the selected payment system that will process your donation. We would like to emphasize that we do not control the content and practices of these websites, and therefore we are not responsible for the the privacy and security of any information you provide while visiting them. We strongly recommend that you read their privacy policy and terms of service before submitting any information about yourself.

9. CHANGES TO THE PRIVACY POLICY

We reserve the right to change this Policy at any time in our sole discretion. You will be notified if we make changes to this Policy. The Fund keeps the Privacy Policy under regular review. This Privacy Policy was last updated on February 16th, 2024.
